Position Summary

Watchmaker Genomics is inviting applications for the full-time position of Senior Executive Assistant.

This position reports to the Chief Executive Officer and will be responsible for supporting the Executive Leadership Team. This role will coordinate and manage executive scheduling, prepare and organize important reports and strategic materials, support board meetings, and prepare board materials. This role is central to coordination and communication within the company, connecting organizations, projects, and critical business information to the CEO, ensuring meetings and materials are efficient and effective, and serving as a trusted partner to deliver against the highest priorities of the business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills, attention to detail, and the ability to identify and anticipate the needs of the executive leadership team. The role must interact seamlessly and with a professional demeanor across a broad range of individuals, including members of the Leadership Team, Board of Directors, and leaders that report to the CEO. To perform this job successfully, the individual must handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising professionalism and discretion.

Responsibilities

  • Work directly with the CEO and the executive leadership team to support the execution of company goals and priorities
  • Coordinate communication within the leadership team; play a key role in coordinating team efforts both internally and externally
  • Provide coordination, monitoring, and communication of projects and programs
  • Assist executives in the development of presentations and memos for internal and external audiences
  • Determine priority of matters of attention for the executive team; redirect matters to staff to handle, or handle matters personally, as appropriate
  • Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up
  • Maintain calendars, including scheduling meetings, appointments, and travel arrangements. Exercise discretion in committing time and evaluating needs to support our operational cadence
  • Compose and prepare letters relating to routine correspondence for the CEO’s signature
  • Schedule departmental meetings; assist in preparing and distributing meeting agendas and materials
  • Transcribe source material, and prepare documents, reports, tables, and charts; distribute as appropriate
  • Prepare, reconcile, and submit expense reports
  • Maintain confidential and sensitive information
  • Attend meetings and take notes of discussions; prepare the initial draft of minutes and summaries
  • Complete a variety of special projects, including creating presentations, financial spreadsheets, special reports, meeting minute taking, and agenda material
  • Routinely perform a wide variety of support duties
  • Sort and triage mail; maintain e-mail and other address directories
  • Handle printing, mail/overnight packages, copying, filing, and email/messages
  • Other additional and/or alternative duties are assigned occasionally, including supporting other departments or the leadership team as needed.

Required Qualifications and Experience

The following skills and experience are requirements for the position:

  • Excellent computer skills, including Google Workspace (Gmail, Google Docs, Google Sheets, Google Meet), Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, and Teams), and other productivity software
  • Exceptional writing, editing, and proofreading skills
  • Excellent organization, attention to detail and time-management skills

Education Requirements

  • Bachelor’s degree preferred
  • 7+ years of experience in supporting a senior executive team

Compensation

The base compensation for the Senior Executive Assistant role starts at $75,000-$100,000 + bonus + equity; actual pay will be adjusted based on skills and experience. Employees are eligible for Flexible Time Off, Holidays, employer covers 75% of base medical plan with buy-up options, employer paid dental, employer paid vision, employer paid $25,000 life/AD&D policy, paid parental leave, and a 401(k) retirement plan.
